How to use Email Signature Generator

Fill In Your Details

In the Contact Info tab, enter your full name, job title, company, email address, landline and mobile phone numbers, website URL, office address, and optionally an avatar image URL for your photo or logo.

Add Your Social Links

Switch to the Social Links tab and paste your profile URLs for LinkedIn, X (Twitter), GitHub, Facebook, Instagram, YouTube, and WhatsApp. Drag and drop rows to reorder how the icons appear in the signature.

Choose a Template & Customise

Pick one of 7 professionally designed templates — Classic, Corporate, Sidebar, Creative, Executive, Banner, or Minimal. Then use the Design tab to set your brand color, font, font size, text color, label style, and social icon colors.

Add a CTA or Disclaimer (Optional)

Open the Extras tab to add a call-to-action button (e.g. 'Schedule a Meeting' or 'Book a Demo') with a link, or append a legal disclaimer such as a confidentiality notice, GDPR statement, or environmental message.

Export & Install

Click 'Copy for Gmail / Outlook' to copy the rich-text signature and paste it directly into your email client. Or download it as a PNG image for social profiles, or as an HTML file for Outlook's 'Insert as HTML' editor.

Frequently Asked Questions

Will my signature render correctly in Gmail, Outlook, and Apple Mail?

Yes. Every template is built with table-based HTML and fully inline CSS — the same approach used by major email service providers. This ensures pixel-perfect rendering across Gmail, Outlook (2016–365), Apple Mail, Thunderbird, Yahoo Mail, and most other clients.

How do I add my signature in Gmail?

Copy the signature using the 'Copy for Gmail / Outlook' button. In Gmail, go to Settings (⚙) → See all settings → Signature → Create new. Click inside the signature editor, then paste (Ctrl+V / Cmd+V). Your formatted signature will appear with icons and colors intact.

How do I install the signature in Microsoft Outlook?

In Outlook, go to File → Options → Mail → Signatures → New. Name your signature, then click inside the editor and paste directly (Ctrl+V). Alternatively, download the HTML file, open it in a browser, select all (Ctrl+A), copy, and paste into the Outlook editor.

How do I add it to Apple Mail?

Open Mail → Settings (Cmd+,) → Signatures. Select your account, click '+' to create a new signature, then paste the copied signature. For best results, uncheck 'Always match my default message font' if available.

Is my personal data stored or sent anywhere?

No — everything runs 100% in your browser. Your name, email, phone number, photo URL, and social links are never transmitted to any server or stored anywhere. The tool works entirely offline after the page loads.

What is the CTA button feature?

The Call-to-Action (CTA) feature in the Extras tab lets you append a branded button or hyperlink below your signature. Common uses include 'Schedule a Meeting' (linking to Calendly), 'Book a Demo', 'View My Portfolio', or 'Download My Resume'. You can choose a filled button style or a plain text link.

Can I add a legal disclaimer or confidentiality notice?

Yes. The Extras tab includes a Disclaimer section with six ready-made presets: Confidentiality Notice, GDPR Notice, Legal Disclaimer, No Virus statement, Environmental message, and a Tax Advice disclaimer. You can also write a fully custom disclaimer in the text area provided.

How do I download my signature as a PNG image?

Click the 'Download PNG' button below the live preview. The tool captures the rendered signature at 2× retina resolution and saves it as 'email-signature.png'. This is useful for inserting into social media profiles, LinkedIn banners, or email clients that don't support HTML signatures.

Can I reorder my social media icons?

Yes. In the Social Links tab, each social network row has a drag handle (⠿) on the left. Drag and drop rows into your preferred order — the live preview updates instantly to reflect the new icon sequence.

Can I use a custom font or brand color?

Yes. The Design tab lets you choose from 8 professional web-safe fonts (Arial, Georgia, Trebuchet MS, Verdana, and more), set any font size, pick from 10 preset brand colors, or enter any custom hex/color code. All changes apply to the live preview in real time.
